How to Prepare for Your Tax Appointment

A calm, organized tax appointment starts a few weeks earlier. Here is how to gather what matters, spot what is new this year and share it safely.

Most of the stress around tax season comes from searching for paperwork at the last minute. A little organization ahead of time makes the appointment shorter, the questions clearer and the preparation more complete.

Start with last year

Your prior-year tax return is the most useful map of what to expect. It shows which income sources, deductions and credits applied to you before. Walk through it and ask yourself which of those still apply, which have ended and what is new.

Gather records by category

Sorting documents into three groups keeps things manageable:

  • Personal information: names, dates of birth and identification numbers for everyone on the return, plus bank details if you want direct deposit.
  • Income: wage statements, interest and dividend forms, records of self-employment or rental income, and statements for any investments you sold.
  • Expenses: records that may matter for deductions or credits, such as mortgage interest, property taxes, education costs, child care, charitable gifts and retirement contributions.

Our tax organizer checklist lists each item in detail.

Note what changed

Life events often affect a tax return more than anything else. Make a short list of changes since last year: a new job or business, marriage or divorce, a new child, a home purchase or sale, a move to another state, or a large medical expense. Bringing that list to your appointment helps your preparer ask the right questions.

Business owners: separate the business

If you run a business or side venture, bring business income and expense records separately from personal ones. Bank and card statements, invoices, and records of equipment purchases or vehicle use are a good start. If your records are not in good shape yet, that is a useful conversation to have early rather than in the final weeks of the season.

Share documents securely

Tax documents contain exactly the information identity thieves look for. Never send them as ordinary email attachments or through a website contact form. Use a secure client portal, or bring them in person. GAP Consulting clients can send documents securely through our client portal.
